

Y.E.S. KC How to...
Register to Volunteer:
1. Click the link provided -
2. Fill out the form COMPLETELY using ONE GMAIL address. This Gmail address is required for training and all communication purposes.
3. If multiple family members are volunteering on the same account (working towards the same receipts), please add their name to the registration form when asked for additional family members. Otherwise, register those family members with a separate account.

Submit receipts for reimbursement:
1. After you register as a volunteer and complete the YES KC training, a "Receipt" Spreadsheet will be shared with you via the google drive with the Gmail you provided on your registration form.
2. Upload your receipt to your personal google drive.
3. When submitting receipts, each receipt must be entered as a separate line item on your "Receipt Spreadsheet".
4. Provide all required info on your spreadsheet - date of submission, date of receipt, receipt description (what you paid for), receipt total, reimbursement amount being requested (may be different from receipt total if non-reimbursable items were purchased at the same time), link to receipt from you google drive (by clicking on your receipt image in your google drive, create a link, copy that link and paste it onto your spreadsheet in the appropriate space).
5. Allow 2 weeks for receipts to be reviewed and posted to your "Account" Spreadsheet.

Request a Payment:
1. Before requesting a check or payment to an institution, confirm:
a.) amount requested does not exceed the amount earned and
b.) receipt balance is greater than or equal to the amount being requested. The only exception to this is if you request a check be made out to an institution directly, in which case no receipt is necessary.
2. Fill out the google form COMPLETELY by Friday at 8:00 am. -
3. Payments will be issued each Monday. Please do not request more than two payments per month.

Event Signup:
Y.E.S. KC uses SignUp Genius for volunteers to schedule their events. Events will be listed on the website under the "Events" tab to help volunteers plan their schedule in advance.

On the 1st of every month, the VP of Scheduling will send an email to the group announcing the time and date the signup for the following month will be posted, thus ensuring that all volunteers have equal access to signup. On the announced date and time, an email will be sent to the group with the link to the signup as well as posted to the website on the "Volunteer Registration/Info" tab. The signup may be locked on the 2nd day following its posting in order to move people from the backup list onto the schedule as needed (see "Volunteer Registration/General Info" tab for specifics on the backup list).

Cancel Signup:
1. If it is within 2 days of the signup posting, you can return to Signup Genius and remove your name.
2. If the signup is locked, volunteers must email the venue coordinator to have their name removed (see the "Policy" tab for specifics on cancellation fees).

***Text messages/phone calls to remove your name from the signup will not be accepted.***

Turn in Concerns/Suggestions:
1. All concerns/suggestions should be emailed first to the venue coordinator. Oftentimes they can resolve the issue.
2. If further intervention is necessary, or the concern is general and not location specific, either the venue coordinator (if applicable) or the volunteer shall email the president at yeskcpresident@yeskc.org. Please allow 48 hours for a response.

​Turn in Cash Tips:
A venue lead will be assigned for each event. All cash tips should be turned in to the venue lead at the end of the event. When the venue lead and assist are done with their duties, they should document at the top of the sign-in sheet the amount of cash tips received and each initial the amount.
- The venue lead/assist will send the amount of cash tips collected to Y.E.S. KC via Venmo. Be sure to state the name and date of the event in the memo.
